Switching Business Email: 12 Questions to Ask Any UK Provider

Switching your business email is a bigger decision than the monthly price makes it look. Email is where your invoices, contracts and customer conversations live, so the right questions to ask a provider aren't about cost — they're about what happens to that email day to day, and on the day something goes wrong. Here are the twelve we'd want answered before moving any UK business, with our own straight answers underneath each one.

1. Is the pricing per mailbox or per business?

This is the one that quietly decides your bill. Per-user providers (Microsoft 365, Google Workspace) charge for every person, every month, and raise the rate at renewal. Flat, per-business pricing charges once for the whole team. UKBox is flat — from £4.99/month +VAT for 10 mailboxes on our business email hosting, whether that's used by three people or ten.

2. What's the difference between a mailbox and an email address?

A crucial distinction, and it usually means you need fewer mailboxes than you think. A mailbox is an inbox someone logs into. An alias or forwarder (info@, sales@, accounts@) just points at an existing mailbox. Aliases and forwarders are unlimited on every UKBox plan, so one person can own john@, sales@ and info@ without using three mailboxes. Only count the people who need their own login.

3. How is the mailbox storage shared?

Storage on our plans is a pool shared across your mailboxes — 10GB on Starter, 25GB on Secure, up to 100GB on Scale — and you divide it however suits your team. Running low later? Add 10GB for £2/month rather than jumping a whole plan.

4. Is SPF, DKIM and DMARC set up?

All three matter for getting your mail into inboxes and stopping others spoofing your domain. Plenty of providers stop at SPF and DKIM. UKBox configures all three, including a DMARC record on your domain — set to monitor by default, and we'll tighten it to reject unauthenticated mail on request. That's the honest answer to a question a lot of hosts dodge.

5. Does it include calendars and contacts, or just email?

Both. Alongside IMAP/POP email and webmail, UKBox mailboxes carry shared calendars and contacts that sync to Apple Mail and Calendar, Outlook and mobile over CalDAV and CardDAV. If you need the wider Microsoft ecosystem — Teams, SharePoint, the Office desktop apps — that's genuinely where Microsoft 365 fits, and we'll say so rather than sell you around it.

6. How often are backups taken, and where are they kept?

Daily, and kept for a rolling 7 days — copied off-site to a second UK data centre, so a problem in one location can't take your mail and its backup at once. Your backups sleep in a different city.

7. Where is the email actually hosted?

On our own UK infrastructure across London, Coventry and Maidenhead — not resold space in someone else's cloud. For a UK business that wants customer email kept under UK jurisdiction, that's the answer that matters, and UKBox Ltd is a UK-registered company (No. 15154892), ICO registered.

8. What's the uptime, and is there a status page?

We run to a 99.9% uptime target and have the track record to match, with infrastructure monitored 365 days a year and a live network status page you can check any time. We're straight about this: 99.9% is our genuine operating target, not a credit-backed contract — if you need a signed SLA with service credits, ask and we'll talk.

9. What happens if there's an outage?

Monitored round the clock, a public status page so you're never guessing, off-site backups in a second data centre, and UK support you can actually phone on 0330 088 2279 — a person, not a queue. Small-provider support is often faster and more personal than a global helpdesk, and that's the trade we lean into.

10. How hard is it to leave?

Easy, on purpose. Your domain is yours, your mail is standard IMAP, and there's no contract and no minimum term — cancel from the client area whenever you like. A provider confident in its service doesn't need to trap you, and the same open standards that make joining a free, zero-loss migration make leaving just as simple.

11. What about spam, viruses and phishing?

Advanced spam and virus filtering runs on every mailbox, alongside the SPF/DKIM/DMARC authentication that stops your domain being spoofed in phishing attacks — the two halves of keeping bad mail out and your name clean.

12. How does migration work — will I lose anything?

No. We copy every message, folder and read/unread flag from your current provider, verify the counts match, and leave your old inbox untouched until you've checked everything arrived. Only then does mail switch across. Migration is included free on every plan.

The honest summary

If your business needs the full Microsoft 365 suite — Teams, SharePoint, the Office apps — buy Microsoft 365; we'll tell you that to your face. But if what you need is professional, UK-hosted email on your own domain, properly authenticated, backed up, with calendars and contacts, unlimited aliases and no per-person bill, that's exactly what UKBox is built for. See the five flat-rate plans, or call 0330 088 2279 and ask us any of the twelve yourself.
